WorkReady Youth Data Coordinator (Seasonal), Urban Affairs Coalition

This position is part of a seasonal team responsible for the Urban Affairs Coalition’s Summer Youth Employment program, which provides paid summer job opportunities and support to youth ages 14-18 through WorkReady Philadelphia. The six week program runs from July through mid-August and includes career exposure, on-the-job mentoring and professional development. In 2018, UAC anticipates serving 1,400 youth.
The WorkReady Youth Data Coordinator will provide general administrative and data assistance to the Enrollment/Payroll Manager, supporting the WorkReady program goals of enrolling 1,400 youth and processing payroll for youth in an accurate and timely fashion.
This is a seasonal position beginning in early April and ending in August/September.
PRIMARY RESPONSIBILITIES:
April – June
Manage the background check process for all youth enrolling in the program, including heavy data entry, tracking, reporting, and follow-up;
In conjunction with Worksite Coordinator, enter and track worksite supervisor background checks and ensure timely completion;
Assist with entering and maintaining accurate participant data in excel, including an up-to-date and shared list of all program applicants, their application status, and other data;
Create and maintain a filing system for program participant files and other paperwork;
Assist with troubleshooting inquiries from program participants, potential program participants, and worksites;
As needed, assist program participants with completing program paperwork, including assistance with detailed program eligibility requirements and accurate completion of application documents;
Perform other related duties as assigned
July-August
Responsible for rapid, but highly accurate timesheet organization and data entry for up to 1,400 program participants every pay period (4 times during the 6 week program period);
Troubleshoot payroll issues and assist with distributing youth pay;
Continue to troubleshoot any remaining issues with youth enrollment, clearances, and placement.
Perform other related duties as assigned.
KNOWLEDGE AND SKILLS:
Must be a flexible, communicative, and agile team player, able to coordinate and share resources and data;
Must have strong skills in data entry, excel, and data management
Strong organization skills and extremely detailed-oriented.
Strong customer-service orientation with good verbal and written communication skills;
Must be able to multi-task while meeting programmatic benchmarks and deadlines;
Must be comfortable working with youth and young adults ages 14-21;
Must be willing to work some non-traditional hours, as needed;
Must be a self-starter with good time management skills;
EDUCATION AND WORK EXPERIENCE:
Bachelor’s degree in a related field;
A minimum of 2-5 years previous work experience working with data preferred;
Must be proficient in Microsoft Office software, including Word, PowerPoint, and Excel and have strong typing skills.
Special Note: This position requires a criminal background check, child abuse clearance, and FBI fingerprint-based background check.
