WorkReady Worksite Coordinator, Urban Affairs Coalition

This position is part of a seasonal team responsible for the Urban Affairs Coalition’s Summer Youth Employment program, which provides paid summer job opportunities and support to youth ages 14-18 through WorkReady Philadelphia. The six week program runs from July through mid-August and includes career exposure, on-the-job mentoring and professional development. In 2018, UAC anticipates serving 1,400 youth.
The WorkReady Worksite Coordinator will provide general administrative and data assistance to the Worksite Manager, supporting the WorkReady program goals of enrolling over 200 worksites, placing 1,500 youth at those sites, and serving as a point of contact for the worksites to troubleshoot issues and concerns.
This is a seasonal position beginning in April and ending in August/September.
PRIMARY RESPONSIBILITIES:
Assist with researching and identifying suitable potential worksites, in coordination with program leadership;
Contact identified worksites to discuss program benefits and details and to arrange meetings for Worksite Specialists to complete required paperwork with the worksites;
Review completed Worksite Agreements and related paperwork for completion and accuracy;
Work with Clearance/Payroll Coordinator to and follow up with worksites to ensure all Worksite Supervisors complete required background checks;
Answer telephone and email inquiries from worksites and troubleshoot questions or concerns;
Responsible for entering and maintaining accurate worksite data in excel, including an accurate list of potential worksites, status of outreach, and next steps;
Assist with identifying and recording youth placement at each worksite, including advanced use of excel and online tools;
Facilitate clear communication with worksites on program status, expectations, and details, including arranging worksite orientation sessions;
Photocopying and filing of paperwork and other administrative duties
Perform other related duties as assigned.
KNOWLEDGE AND SKILLS:
Must be a flexible, communicative, and agile team player, able to coordinate and share resources and data;
Strong customer-service orientation with good verbal and written communication skills;
Must be comfortable working with data and have good Excel skills
Strong organization skills and extremely detailed-oriented.
Proficient in communicating with a wide variety of stakeholders;
Must be able to multi-task while meeting programmatic benchmarks and deadlines;
Must be willing to work some non-traditional hours, as needed;
Must be a self-starter with good time management skills;
EDUCATION AND WORK EXPERIENCE:
Bachelor’s degree in a related field;
A minimum of 2-5 years previous work experience preferred;
Must be proficient in Microsoft Office software, including Word, PowerPoint, and Excel and have strong typing skills.
Special Note: This position requires a criminal background check, child abuse clearance, and FBI fingerprint-based background check.
