SERK CUSTOMER SERVICE ASSISTANT

The SERK Customer Service Assistant is responsible for ensuring provider communication are accurate, timely and friendly and supporting disbursement of STARS grants and awards and contract payments. This position reports to the Administrative Coordinator. This position is also a part of PHMC’s financial and administrative component. The position is full-time, 100% FTE. The position operates from PHMC’s main offices at 260 South Broad Street, Philadelphia, PA

RESPONSIBILITIES:
• Fields phone calls and monitors the general SERK email account;
• Maintains a working knowledge of Keystone STARS and responds to routine requests for information in a timely fashion; directs more in-depth inquiries to other parties as appropriate;
• Supports provider outreach efforts and special projects where provider communication is required;
• Processes and records payments and refunds for SERK grants and contractors in a timely manner;
• Processes and records subcontracts for SERK grants and contractors in a timely manner; Accurately and promptly record grants and awards in PELICAN;
• Filing of payment related documents and follow-up with the providers regarding any incomplete or insufficient documentation;
• Works with Grants department to ensure accuracy and timeliness of grant payments;
• Participates in routine internal audits and reconciliation of entries across databases to ensure compliance with written operating standard and State regulations;
• Works with Grants department to respond to provider grant inquiries;
• Works with PHMC Accounts Payable staff to reconcile SERK payments and PD income to general ledger;
• Helps the Administrative Coordinator generate and distribute standard communications regarding SERK grant and contractor payments;
• Provides backup to the Administrative Coordinator entering grant and contracts invoices in the accounting software;
• Collects and submits SERK employee expense reports to the PHMC Finance department;
• Processes ACH requests ;
• Prepares reports as requested ;
• Participates in in-service and outside staff training programs;
• Support SERK staff by completing such routine tasks as copying, mailing, and faxing for specific projects as requested;
• Perform all tasks consistent with overall SERK and PHMC policies and procedures;
• Perform in coordination and cooperation with other PHMC Administrative staff;
• Assist with the preparation of reports, proposals, mailings, etc. as necessary; and
• Other duties as required.
