POSITION: Part-Time Executive Assistant

SUPERVISED BY: Executive Director

ABOUT THE FOUNDATION

The First Hospital Foundation is a private foundation that supports nonprofit organizations whose programs help address the health needs of the most vulnerable and underserved populations in the five-county Philadelphia metropolitan region. The Foundation values innovative approaches to the delivery of health care and believes that working collaboratively with others increases the collective ability to advance knowledge in the field and make a positive difference in the health of vulnerable populations.

ABOUT THE POSITION

Candidates are sought who: are looking for exposure to foundation grant making; have strong written and verbal communication skills; are able to manage multiple tasks, enjoy teamwork; and who will show initiative, enthusiasm, humility, a sense of humor, and drive.

DUTIES

Grantmaking Support

Maintenance of grant databases and production flow associated with grant decision-making and management.
Assistance with scheduling site visits to grantee organizations, producing site visit reports as requested.
Maintenance and upkeep of grant files.

Office Management

Management of office supplies inventory, answering and directing incoming phone calls and walk-in visitors, and arranging maintenance of all office equipment and computer hardware and software.
Maintenance of master copies of all board materials, policies and grant making documents.

Administrative and Clerical Support

Management of calendars. Screen and prioritize calls and scheduling requests.
Assistance with presentation preparation, travel arrangements, and ad–hoc project work involving research and administrative reporting.
Complete specific work projects relative to the work of the Board of Directors of the Foundation and its committees.
Coordinate various meetings including Board of Directors and committee meetings, as well as assist in the preparation of content for meetings.
Assist with website content updates.
Perform other job duties deemed necessary for the efficient operation of the Foundation.

QUALIFICATIONS

High school diploma required (college degree preferred) and a minimum of 3 years prior administrative experience.
Excellent interpersonal, verbal and written communication skills with the ability to work independently and as a member of a high-performing team.
Capable of efficiently and effectively supporting the Executive Director and, when appropriate, the Board.
Proactive, self-starter with exceptional organizational skills and the ability to handle confidential information.
Strong relationship building, follow-up and follow-through skills. Must be able to prioritize and manage multiple tasks.
Committed to delivery of work products on time.
Advanced knowledge of office and administrative procedures, and expert PC skills (proficient in Word, Excel, Access and Power Point). Proficiency in database management desired.

A competitive salary will be offered commensurate with job requirements and candidate experience.
