Program Coordinator, Weaver’s Way Community Programs

Job Purpose: The Program Coordinator is responsible for providing coordination and implementation of educational programs in support of the mission and services of WWCP.  The position also includes time dedicated to general office administration and community outreach.

Job Duties & Responsibilities:

Internal Leadership  (15-20 hours/week)
•    Plan and coordinate logistics associated with farm education visits including registration, trip information packets, data collection, invoicing, communication with farm educators, and pre/post surveys
•    Oversee all aspects of the school-based Marketplace program, including curriculum delivery, coordination with school personnel, Marketplace sales, and supervision of part-time Marketplace Assistant
•    Coordinate invoicing and payment collection with WWCP bookkeeper and WW finance office
•    Develop and maintain evaluation mechanisms to be used for internal benchmarking and grant reporting purposes
•    Partner with staff to develop and implement systems to evaluate our work, identify opportunities for improvements and efficiencies, and adjust/expand programs as necessary
•    Participate in creation of annual program budgets and monitor expenses
•    Participate in WWCP Strategic Planning process (Fall/Winter 2013) and contribute to the implementation of Strategic Plan which may include development of new educational programs or the expansion of existing programs
Community & External Leadership  (15-20 hours/week)
•    Coordinate communication to public/supporters (i.e. Shuttle articles, social media, website, etc.) in conjunction with other WWCP staff and interns
•    Identify, assess and update content for educational programs on WWCP associated websites
•    Help to plan annual fundraising, educational, and community building events
•    Pursue relevant opportunities to partner with local, regional, and national organizations & networks
•    Interact with WWCP constituents at fundraising and educational program events to increase awareness of WWCP programs/services and to develop relationships that can result in increased philanthropic support
•    Assist ED in work to generate, maintain, and update written communications, including mailings of donor appeal letters and thank you letters
•    Communicate with stakeholders, including program partners, donors and volunteers; process and respond to inquiries
•    Provide and approve content for all marketing collateral to support educational programs
•    Work with Program Staff to create and implement outgoing program and evaluation reminders and market WWCP programs
Office Administration  (3-5 hours/week)
•    Ensure office filing systems are maintained and current
•    Maintain donor database, ensuring integrity and accuracy of data
•    Maintain office equipment, furniture, and IT hardware/software; organize repairs and upgrades as needed with WW IT department
•    Monitor and maintain office supplies
•    Collect and input time sheets for WWCP staff
•    Work with WWCP bookkeeper to process organizational expenses and revenue, perform account reconciliations, and prepare & make bank deposits
•    Liaise with Weavers Way staff as necessary
Minimum Qualifications:
•    Bachelors degree
•    Two years experience in nonprofit program development or administration
•    Experience working with Philadelphia Public Schools and/or developing school-community partnerships
•    Project management experience
•    Superior administrative and organizational skills
•    Excellent interpersonal, oral, and written communication skills
•    Strong computer application skills with knowledge of word processing, spreadsheet, planning, presentation, social media, scheduling and data base programs

Skills/Attributes:
•    Comfortable with public speaking and able to represent WWCP at public events
•    Must be able to work independently, think creatively, solve problems, and make decisions in accordance with established policies and regulations
•    Experience with donor databases, specifically eTapestry, a plus
•    Must be able to develop standards, analyze information, deal with complexity, & report research results
•    Exceptional attention to detail and deadlines
•    Ability to maintain confidentiality at all times; has a high moral character
•    Polite, courteous and tactful with the public/donors/stakeholders
•    Ideal candidate has established relationships with community and educational stakeholders that will benefit WWCP’s work and further our mission

Hours:    40 hours/week     (occasional evenings and weekends)

Compensation:    Commensurate with experience
