Job Overview: Drexel University’s Lindy Center for Civic Engagement promotes the ideals of social responsibility and active citizenship by facilitating service, scholarship and engagement opportunities within the community. The Program Assistant is the first point of contact for visitors to Drexel University’s Lindy Center for Civic Engagement. This position is responsible for the daily work-flow of the office and all interaction with visitors, outside representatives, incoming students, professional staff and faculty via in-person, phone and email communications. Additionally, this position provides support to various Lindy Center staff members, including data entry support. The Program Assistant must present a professional appearance, have professional communication skills, a pleasant demeanor and the ability to multi-task in a busy environment. Expected schedule is 8:30 a.m. to 5 p.m. Monday through Friday with flexibility for presence at events after 5 p.m. or on weekends. This position reports directly to the Assistant Director for Community Based Learning with a dotted line to the Executive Director.
Qualifications:
• High School Diploma required, Bachelor’s degree preferred
• Candidate must be able to manage multiple priorities, handle confidential material, be extremely dependable and have the ability to adjust work hours due to periodic events after 5 p.m. or on weekends
• Candidate must be organized, flexible, motivated, and have strong written and verbal skills
• Candidate must have a welcoming disposition to greet guests that visit and call the office
• Past experience in a busy office environment is preferred and candidate must be self-directed and be able to work with minimal supervision
• Candidates must demonstrate high proficiency in Microsoft software including Outlook, Word, Excel, and Power Point
Essential Functions:
Customer Service & Office Administration (25%)
• Front office reception, greeting visitors and directing them to applicable people/offices
• Answer office telephones, route calls, provide basic information to callers who may be potential students, current students, staff, faculty members, and alumni
• Assist the Executive Director with scheduling meetings and managing the office calendar
• Primary contact for all aspects of office operations including: facilities, custodial issues, building keys, ordering office supplies, technology, and external vendors
• Responsible for reconciliation of credit card statement for the Executive Director
• Create a welcoming and orderly appearance in the office and maintain order in supply closet
• Monitor and approve the hiring process and timesheet approval process for all student employees
• Handle the intake, referral, and tracking process for all guests visiting the Lindy Center including students, faculty, staff, and community partners.
• Other duties as assigned
Support Community Based Learning Programs (75%)
• Work on a team with Assistant Director of Community Based Learning and graduate assistants to manage CIVC 101 course
• Provide logistical support including: coordinating background checks of students, managing the service sign up portal, ordering tokens and supplies
• Create BBLearn pages for all CIVC 101 courses and update new content as needed throughout the term
• Maintaining and strengthening partnerships with CIVC101 service site partners including regular communication, addressing needs and requests, and visiting sites during service hours
• Responsible for reconciliation of credit card statement for the Asst. Director of CBL.
• Assist with data entry for CIVC 101 and other CBL courses such as tracking volunteer attendance, service hours, and background check completion
