Job description
The Part-Time Executive Director manages the operations, finances, and activities of the league business, under the supervision of the Philly Roller Girls’ Board of Directors (Governing Board). This position collaborates with the officers and committee chairs to develop systems and organizational infrastructure to support the maintenance of the league, allowing the BOD to focus more fully on membership-based governance.
Goals:
The Executive Director is responsible for planning, facilitation, and daily operations, in order to:
• Develop financial and operational vision for the organization;
• Maintain and grow business infrastructure, to allow the Board of Directors to focus on membership-based initiatives and engagement;
• Closely work with and oversee the Marketing, Development, Human Resources and Treasurer positions to ensure proper functioning of business relationships and initiatives;
• Help build financial sustainability and growth of the organization, with the goal of 10% revenue growth or better;
• Help grow position to full-time over time;
• Maintain organizational excellence in compliance with requirements for 501c3 nonprofit corporations.
Responsibilities:
• Manage day-to-day tasks of financial and operations systems, including writing and reconciling check deposits, working with bookkeeper to maintain accurate financial records, field business-based phone and email interactions;
• Work with Treasurer/bookkeeper to ensure taxes and payments are made in a timely manner;
• Oversee seasonal Bout Production and ECDX expense and revenue operations, including budgetary process, cash management and reconciling;
• Establish well-planned, documented systems and resources for Philly Roller Girls;
• Maintain the business infrastructure of the organization, to support the Board of Directors in their efforts to make membership as fun, safe and educational as possible for all members;
• Support the operational growth of Juniors and Rec League development;
• Support the Development officer in growing giving-based programming for financial growth of the league.
• Communicate regularly with the Philly Roller Girls Board of Directors (Governing Board) and report directly to the President of the Board of Directors;
• Manage and cultivate existing business relationships and act as the lead in discussions of marketing, development, operations and bout production as needed;
• Identify opportunities to leverage cross-program strengths, take advantage of new opportunities, and address organizational challenges;
• Oversee membership processes, including admission of new members, orientation, annual update, and resignation, in accordance with the Bylaws and policy manual;
• Ensure compliance with Federal, State, and Local laws, rules, and regulations, including overseeing all filings;
• Hire and retain support staff as needed in the future;
• Act as the lead for all risk management, insurance and facilities management.
Education, Knowledge, Skills, and Abilities:
• Excellent communication and relationship-building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders.
• Solid working knowledge of budgeting, business development, and strategic planning.
• Demonstrated ability to implement projects and adhere to established timelines. Must be able to manage projects independently and prioritize tasks.
• Ability to make clear decisions based on policy, make sound judgments, and exercise independent thinking.
• Technology savvy with experience selecting and overseeing software installations and managing implementation.
• Financial leadership and oversight experience, including accounting, reporting, and costsaving in the non-profit setting.
• Commitment to volunteer development programs that maximize individual and organization goals across the organization.
• Personal qualities of integrity, credibility, and dedication to the mission of Philly Roller Girls.
