Manager of Finance and Administration (up to 30 hours a week)

The Manager of Finance and Administration is a key player in managing the internal operations of Friends of the Children, specifically in the areas of accounting, human resources, benefits, grants and contract administration. Non-profit experience required. He/she will also assist the National Executive Director with Board relations, financial projections, and critical budgetary decisions.

The Manager of Finance and Administration must understand and support the organization’s mission, and be able to weave a financial perspective into day to day operations. Respect for confidential information is essential and excellent communications skills required.

Reports to: National Executive Director
Essential Functions and Responsibilities:

Accounting and Technology:

* Manage and perform all accounting functions including but not limited to: accounts payable and payroll, accounts / pledges receivables, fixed assets, etc.
* Perform monthly and fiscal year-end financial account reconciliations and closings. Create and distribute monthly financial statements and projections to National Executive Director and management staff.
* Manage annual audit and Form 990, Federal, state and local tax filings.
* Provide financial information to Board Finance Committee on a regular basis, including: financial statements compared to budget, cash flow projections and investment portfolio reports.
* Oversee annual budget process including creation of budget and presentation to the Board Finance Committee and Board of Directors in conjunction with the National Executive Director.
* Maintain current and accurate accounting information records.
* Maintain working relationships with vendors including independent contractors.
* Seek out opportunities for cost savings and alternatives way to fulfill our mission efficiently.

Human Resources

* Assists National Executive Director in new-hire benefits and human resource orientation.
* Maintain accurate and confidential human resources information records, including but not limited to: personnel files, internal documents and benefit information.
* Maintain working relationships with benefits providers. Evaluate, as necessary, benefits package to ensure competition within the market.
* Administer benefits including but not limited to: 401(k) plan, medical/dental insurance, timesheets and leave records, and COBRA.

Grant and Contract Administration

* Assist in preparing and submitting fund development applications, grant reports. Prepare budget documents for grant applications and reports.
* Track temporarily restricted grants and report accordingly in the financial statements.
* Work with Program Assistant to reconcile donor database to QuickBooks.
* Liaise with Board as requested.

Administrative

* Maintain working relationships with liability insurance brokers and providers. Evaluate, as necessary, insurance package to ensure competitive pricing and adequate coverage. Implement policies to meet insurance provider requirements.
* Review and refine policies and procedures including accounting, employee handbook and Board policies.
* Assist with oversight of information technology providers to ensure that all computer systems, information is secure and backed up.
* Other projects / tasks as assigned.
* Prepare minutes of Board meetings

Education:

Minimum Bachelor’s Degree in accounting or business.
Experience, Skills and Knowledge Preferred:

* At least three years of accounting experience in nonprofit organizations.
* Must be facile with: Word, Excel, PayChex and QuickBooks preferred.
* Ability to respond to changing priorities.
* Demonstrated excellent interpersonal, skills; organizational and time management skills.
* Ability to work independently with limited supervision, as well as be a team player.
* Ability to solve problems, manage several issues/tasks concurrently and meet deadlines.
