Faculty Affairs Specialist, Fox School of Business

The Faculty Affairs Specialist for the Fox School of Business will primarily provide support to the Senior Associate Dean in the management of all administrative functions in his/her portfolio, particularly in terms of faculty affairs, faculty personnel processes, and accreditation for academic programs. Responsibilities include maintaining faculty personnel records and database, faculty hiring, promotion and tenure, merit, grants, salary adjustments, and other faculty specific processes.
The Faculty Affairs Specialist will also provide administrative and programmatic support to faculty and senior staff within the Fox School of Business. He/she will coordinate the daily activities of the Dean’s Office, under the direction of the Senior Associate Dean and Managing Director for Faculty Affairs and Business Operations, to support the overall mission of the School, with emphasis on faculty affairs and academic programs. Additionally, the Faculty Affairs Specialist will serve as a back up to the Executive Assistant to the Dean, and handle all emails and confidential mail in her absence. He/she will be responsible for complex administrative tasks such as: drafting confidential correspondence; screening and responding to incoming communications; organizing and maintaining the Senior Associate Dean’s calendar; developing and maintaining systematic records for senior staff; preparing confidential arrangements with other academic institutions for partner and auxiliary programs; assisting with the planning and delivery of special events; maintaining the filing system for the school; and making travel arrangements for senior staff. In addition, the Faculty Affairs Specialist will oversee the maintenance of information in the School’s faculty development database, and serve as the back up to the Assistant Director of Scheduling. Performs other duties as assigned.
Required Education & Experience:
At least 3 years of related administrative experience including supporting senior level management, managing an electronic and shared calendar, working with highly confidential materials and exercising discretion. An equivalent combination of education and experience may be considered.
Required Skills & Abilities:
*Demonstrated proficiency with the Microsoft Office suite, including word processing, spreadsheets, database and presentation software.
*Demonstrated ability to draft correspondence for senior level management, free of grammatical and spelling errors.
*Demonstrated ability to maintain accurate information in a complex database.
*Demonstrated ability to follow complex policies and provide oversight on their implementation.
*Demonstrated written and verbal communication skills.
*Demonstrated ability to work concurrently on multiple projects with varying timelines, with distractions.
*Ability to interact effectively with a diverse group of students, faculty and staff and work as a team player across multiple levels.
*Ability to work occasional evenings and weekends.
Preferred:
*Bachelor’s degree
*Experience working with faculty personnel processes.
