EXECUTIVE DIRECTOR – TUTOR CHAT LIVE FOUNDATION

About Tutor Chat Live Foundation:

The Tutor Chat Live Foundation, operating as TutorChatLive.org (“TCL”), is a web-based 501c3 organization whose mission is to support underserved secondary school students in achieving academic success by providing access to free, live, online tutoring and fostering an online academic community. TCL aims to redefine online, on-demand tutoring by posing no barriers for students to receive supplemental support outside the classroom. Volunteer tutors use a customized chat platform on our website to tutor students in real-time, and the tutoring is subject to a waitlist that prioritizes the most at-risk students seeking help to access the tutors. Launched in February 2010, TCL has impacted thousands of struggling students. Our tutors hold an average of 800 tutoring chat sessions with students each month.

Position Description:

As Executive Director, you will be responsible for smooth execution of TCL’s day-to-day operations. You will report directly to the Board of Directors and work with volunteer staff to carry out the organization’s mission in order to reach its vision. (Note that TCL is 100% volunteer-run). Role functions include:

Board of Directors:

– Attend all board meetings and aid Board Chair in preparation of meeting packets by providing a management update and coordinating with other team members to provide metrics and financial updates

– Present management updates at board meetings

General Management:

– Manage 7 volunteer staff members, delegate tasks, and oversee work

– Coordinate with staff members to complete projects and implement initiatives

– Lead weekly staff meetings and make sure everyone is aware of developments

– Constantly strive for process improvement to facilitate scale

– Prepare legal documents when hiring third party contractors and process necessary payments as approved by the Board

– Attend relevant community events to represent, network on behalf of, and seek resources for the organization

– Recruit, on-board, and train new staff members as needed

– Track volunteer activity and devise means to increase volunteerism and maintain staff and tutors engaged

Tutor Management:

– Oversee and aid in volunteer application and on-boarding processes

– Plan and draft communications with volunteers, including weekly reminders and monthly newsletters

Partnerships:

– Pursue strategic partnerships for recruiting volunteers and marketing to target students

– Establish and manage relationships with partner organizations

Finance:

– Help organize and promote fundraising initiatives

– Seek financial sponsors in the community and improve sponsorship plan based on responses

– Review financial statements to ensure accurate financial reporting

– Aid in formulating annual budget and track expenses to ensure budget line items remain within board-approved amounts

– Submit annual paperwork to IRS to maintain non-profit status

– Oversee donor database and plan and manage communications with donors

Technology:

– Obtain website feedback from users and draft web development requirements

– Manage projects with contracted developers and ensure proper testing

– Analyze site metrics and improve processes based on data
