Job description
St. Christopher’s Foundation for Children
Position Title: Executive Coordinator
Reports to: President
Key Responsibilities: Provide high quality administrative support for a four-person office, work closely with President, manage finances, event management and coordination, board meeting management, office management, and create a positive and professional work environment.
Specific Responsibilities include:
- Track Foundation’s day-to-day expenses and finances with Quickbooks software
- Liaise daily with President on all happenings
- Coordinate with staff on related work
- Assist and provide coordination for two SCFC major events
- Facilitate payment of expenses and acquire required authorization
- Update and maintain SCFC Contact and Donor Database
- Manage the updating and maintaining of SCFC website, Board Effect
- Receive, process and acknowledge donations; make weekly bank deposits
- Receive and document all bills/invoices incurred by the Foundation
- Assist with production and distribution of mailings, donor campaigns, event invitations and related materials.
- Assist with meeting preparation/set-up, includes scheduling meeting locations, ordering refreshments/equipment, etc.
- Maintain office space and ensure all supplies are ordered and inventoried
- Record minutes at SCFC Committee meetings and SCFC Board Meetings
- General office responsibilities: phone, fax, file, scan and mailing
- Act as liaison for all internet and pc related problems, perform a weekly backup of computer files on server; oversee monthly computer support appointments.
- Oversee and manage SCFC volunteers/volunteer projects
- Assist and compile data for the annual audit
- Prepare and file detailed annual charitable registrations
- Oversee offsite storage management
- Manage and assist ED in new employee orientation (Paychex, keys, email, business cards, and all necessary forms)
- Assist and compile data for bookkeeper/consultant during bi-monthly bank reconciliations
- Support the mailings of grant/designated funds requests
- Additional responsibilities, as needed
