About the organization: The Penn Center for Community Health Workers is a nationally-recognized hub for Community Health Worker (CHW) research, patient care, and dissemination. Our IMPaCT CHW model has served more than 8,000 people in Philadelphia. The program is proven to improve primary care access, chronic disease control, and mental health while reducing hospital days by 65%. More than 1,000 organizations have accessed our tools (http://chw.upenn.edu) and we work with organizations across the country to help them launch and sustain effective CHW programs. Key Duties and Responsibilities: The Executive Assistant is responsible for supporting our executive team to increase organizational productivity and ensure smooth functioning of underlying processes and systems. An integral member of our fast-paced, high-functioning team, you will:
Manage schedules for a four-person executive team
Make travel arrangements department-wide
Oversee the hiring and onboarding process of all new staff for department of 60 employees
Ensures the successful implementation of events, including on-site meetings and trainings
Supervise an Office Manager
Receive and directs visitors to the Center
Screen calls and direct them to the appropriate party
Collaborate with university and local vendors to maintain organizational systems and function
Respond to requests and provide information to interested parties about the Center and our work
Ensure the successful completion of special projects
Skill and Experience Required:
Previous experience in an administrative or support role
Superior time management and organizational skills, including the ability to multitask with ease
Able to meet deadlines and remain calm under pressure
Works well with a wide variety of people, including all staff and partner organizations
Comfortable giving direction to others
Excellent verbal and written communication skills
Able to manage projects independently and juggle multiple projects simultaneously
Extremely familiar with Microsoft Outlook, Word, Excel, PowerPoint and Adobe Acrobat
Handling confidential information, including executive correspondence and budgets, with an exceptional level of care
Must be willing to commit to minimum two years of employment
Associate’s degree required; bachelor’s preferred
