Conference Producer & Event Coordinator, Scribe Video Center

The Scribe Video Center seeks a Conference Producer for the 25th Anniversary National Alliance of Media Arts and Culture (NAMAC) Conference.
In September of 2005, a consortium of Philadelphia based media arts organizations will host the biennial NAMAC Conference. This conference is a national gathering of representatives from NAMAC member organizations, as well as independent artists, funders, media scholars, policy analysts and others concerned with and working in varied parts of the media arts field in the US.
CONFERENCE PRODUCER
RESPONSIILITIES – SUMMARY:
The Conference Producer has four major areas of responsibility: (1.) implementing Programming for the conference, including securing and contracting panelists, guest speakers and producing all special events; (2.) carrying out a Fundraising plan determined by Scribe Video Center and NAMAC, including writing proposals, assembling required materials for funders, and preparing reports as required by funders; (3) Financial and Administrative oversight, including monitoring cash-flow and budget; oversight and supervision of paid staff, including Events Coordinator and administrative personnel; oversight and supervision of all contractual obligations, including contracts with hotels, vendors, freelance staffers; (4) coordination of Marketing and Public Relations
aspects of conference, including managing staffing for website, graphics, registration, press and media. The Conference Producer will report to the Executive Director of Scribe Video Center.
Skills:
-Superb and demonstrated organizational skills
-Experience with event planning,
-Solid knowledge of the national media arts field, including institutions, key individuals, trends in the field.
-Fundraising experience.
-Excellent writing ability.
-Excellent public presentation and communication skills.
-Knowledge of bookkeeping and financial reports.
-Experience working with ethnically diverse constituencies.
Term of Employment: Conference Producer must be prepared to start work immediately. The position will initially be half-time until March 31, 2005 (nine months). The position will then become full-time from April 1 to October 31, 2005 (seven months). The position will again become half-time for the month of November 2005. Salary offered is calculated at $45,000 per anum (full time.)
EVENT COORDINATOR
RESPONSIILITIES:
The Event Coordinator has three major areas of responsibility: (1.) Researching, Negotiating and Contracting all major event venues, including hotels and reception halls; vendor services, including intra-city travel for conference participants, audio-visual services, catering; inter city air and rail travel for designated conference guests; (2.) Identifying and Securing In-kind Donations of vendor services, including beverages, space, etc.; (3) Supervision of Volunteers before and during the conference.
TERM OF EMPLOYMENT: Event Coordinator must be prepared to start work immediately. The position will initially be full-time until all major hotel and venue contracts are finalized. The position will then become half-time and then again full time five months prior to the conference. Salary: $42,500 per anum, based on full time employment
Scribe Video Center is a non-profit arts education organization, providing workshop and equipment access to the general public, independent artists and to members of community groups who wish to use video and film as creative tools for personal expression and to address issues of social concern.
