POSITION DESCRIPTION
Associate Director, Civic Scholars Program
University of Pennsylvania
OVERVIEW
Reporting to the Executive Director of the new Penn Civic Scholars Program – and working closely with the Faculty Director – the Associate Director will be responsible for a variety of programmatic and administrative tasks in support of the program. Specifically, the Associate Director will be responsible for monitoring student progress through the program and advising students, organizing logistics for all program events and workshops, managing communications with internal and external constituencies, and planning and supporting program assessment and fundraising efforts. The position will also work with other program staff in supporting Civic Scholars’ civic engagement and internships related to the overall program, as well as work on broader Civic House activities. While currently supported, the position is contingent upon continued funding.
SPECIFIC DUTIES
Monitoring Student Progress and Advising Students
• Counsel individual students and scholars at a whole concerning academic, service and other issues in relation to the Civic Scholars program.
• Maintain Civic Scholars database, including keeping track of student progress in program
• Assist Faculty Director in keeping track of student advising and advisors
• Assist with coordination of advance registration, including identifying & posting Civic Scholar eligible courses
• Communicate with appropriate school officials about student certificate
Develop and coordinate program seminars, workshops, and other events
• Work with students and faculty director to plan, develop, and deliver content and lesson plans for Civic Scholars proseminars
• Plan service and education components of Civic Scholars community service programs, including, but not limited to: determining scope of service project, reaching out to and planning with community partners, deciding on pre- and post-service educational activities related to service event; develop, administer, and assess effectiveness of service projects against goals.
Communications
• Act as a key point person for internal and external communications
• Oversee website maintenance, including maintaining program calendar and updated photos and biographies of current Scholars and program alumni/ae.
• Coordinate communications with Civic Scholars
• Coordinate communications with other university offices
• Assist Faculty and Executive Directors in responding to inquiries concerning the program, and other program correspondence.
Admissions
• Coordinate process, materials, and communications with Admissions Office
Civic Engagement and Internships
• With other program staff, serve as a resource for students community service projects and internships
• Help in identifying service internship opportunities and communicating them to students (working with Civic House, Career Services, Fels Institute, etc.)
• Coordinate process for evaluating internship funding requests and disbursing funds
Program Assessment and Strategic Planning
• Work with Faculty and Executive Directors on creating, soliciting, and summarizing regular mid-year and year-end evaluations
• Assist with and participate in the program planning process
Development and Alumni Relations
• Working with Faculty and Executive Directors and colleagues in Development and Alumni Relations, coordinate cultivation, solicitation, and stewardship of current and potential supporters of Civic Scholars
• Coordinate Civic Scholars Alumni communication and development efforts
Qualifications
BA/BS or equivalent required. Master’s degree preferred in Education, Social Work or related discipline and a minimum of 1-3 years professional-level involvement in higher education community service-learning activities, work with community-based organizations, and/or student affairs and academic advising work; relevant experience may substitute for masters-level degree. Applicants should possess a deep understanding of college student development and of social issues related to community involvement and advocacy work in an urban setting. Experience working closely with faculty in an administrative capacity is desirable. Applicants must also be able to demonstrate high level of initiative and organizational skills, as well as strong speaking, discussion facilitation, and writing skills. Applicants should demonstrate a commitment to working productively with college students and with diverse communities. Basic computer skills required (Windows platform), including word processing and database use; experience with additional software and with navigating and creating internet-based resources helpful, including social media and other content.
