Assistant Director, Student Services for English Language Center

The Assistant Director of Student Services manages student services, advising, and co-curricular affairs for all English Language Center (ELC) students enrolled in IEP, International Gateway, UPrep, GradPrep, and any special program. This includes enrollment, advising, registration, academic records, policies, orientation, student activities, housing, health insurance, and all supporting activities and functions for all ELC student populations.

The Assistant Director of Student Services is a member of the administrative team and provides student-centered support and an enlivening co-curriculum plan of activities. Under the supervision of the Center’s Director and working closely with the Center’s staff and faculty members, the Assistant Director of Student Services develops and troubleshoots procedures to ensure ELC resources are assembled to provide excellent student support and activities.

Essential Functions

Work with ELC administrative assistant to ensure that all ELC administrative technology and systems work together to support a positive student experience. Design and conduct advising workshops for graduate and undergraduate students in the ELC, including Gateway, IEP, and special programs and schedule university admission sessions.

Plan information sessions and provide one-on-one guidance, coaching, and mentoring to ELC students in relation to applying to American universities, this includes workshops or one-on-one sessions to review progress, address concerns, and facilitate learning, goal-setting, and planning. Develop and possibly teach seminar for undergraduate or graduate students on professional English and/or University Admissions.

Oversee the preparation and appropriate distribution of student certificates and transcripts. Plan intercultural and social activities and develop assessment plan for the success of ELC events. Supervise ELC student leadership programs. ELC Student Union and Allison Rose Fellows. Coordinate program evaluations and work with COAS and ELC assessments on data analysis and share results with ELC Director.

Partner with Student Life Offices such as the Counseling Center to provide personal and emotional support for ELC students as well as the Office of Spiritual and Religious Life to assess the spiritual needs of ELC students and provide appropriate support and networking opportunities for students’ spiritual growth and development.

In coordination with COAS Communications, and ELC Director, develop and send pre-arrival communications and information packets for incoming students and oversee/ensure incoming students receive timely communications especially regarding arrival timelines and deadlines. Oversee marketing intern and develop strong presence for the ELC on social media platforms. Monitor elc@drexel.edu mailbox and work with ELC administrative assistant/coordinator on resolving issues.

Oversee student enrollment and admission process for all ELC students. Develop and run student orientation programs for IEP and Gateway programs once students arrive at Drexel University. Work with special program coordinators and oversee all orientation programs for special program to ensure the same standardized information is disseminated to all Drexel ELC students. Oversee accurate and timely management of student course registration. Oversee student add, drop, withdraw, and deferral processes.

Manage Health insurance contract negotiation, student enrollment, student health insurance waivers, claim support for IEP and special program students. Continue liaising with Drexel’s Office of Counseling and Health Services. Manage tracking system for student attendance as required by SEVIS and sponsored programs, and relay information appropriately to sponsorship agencies, students, and internal Drexel offices. Manage academic records and student data, including the financial guarantee process for sponsored students, in a timely and efficient manner that aligns with University guidelines and policies.

Generate reports of enrollment data trends and enrollment capacities including quarterly report to the ELC Director and preparing data for annual IIE, CEA and UCIEP reporting. Attend College and University advising group meetings and conduct regular outreach to Drexel departments regarding ELC events or programs of interest to student services activities, tutoring for international students.

Function as ELC liaison with University student-centric offices including but not limited to Enrollment Management and Student Success, Office of Equality and Diversity, Public Safety, and Campus Services. Serve on ELC committee and represent the ELC in CoAS, and/or Drexel committees as needed. Build an understanding of College and University values, policies, procedures and resources. Supervise ELC administrative Assistant/Coordinator of student enrollment.
