Administrative Specialist, Intergenerational Center

The Intergenerational Center in Temple University’s College of Education seeks a full time Administrative Specialist to support its workforce employment program.  The Administrative Specialist will perform a variety of clerical tasks related to program activities, as well as support other Intergenerational Center programs as needed.  Reporting to the Workforce Program Manager, the incumbent will be responsible for developing and maintaining program materials, updating client files and databases, completing data entry, tracking and reporting on students’ participation and progress, schedule appointments and meetings, ensuring documents and clearances are handled according to Temple University’s safety and compliance procedures, and preparing for program audits.  Performs other duties as assigned. Individual must be pro-active and able to prioritize. Attention to detail is key to this role and must be flexible and organized.

This is a grant funded position.

Essential Functions of Position:

  • Provide a full range of administrative support to the Workforce Project Manager and the Workforce Project Team including but not limited to maintaining Outlook calendar, scheduling meetings and conference calls, preparing reports, maintaining file systems, maintaining office supplies, and processing expenses.
  • Maintain and update client database, electronic, physical files and program materials in compliance with grant requirements.
  • Update administrative systems, track students, follow up on phone calls and document all interactions with participants.
  • Process participant supportive services and other incentives etc.
  • Prepare agendas and other supportive data for meetings.
  • Prepare information needed for audits
  • Compile information and complete reports as needed.
  • Track, manage, and control employee time and attendance in Kronos
  • Handle sensitive information in confidential manner.
  • Assist with events planning and follow up
  • Attend staff meetings and all trainings required by the department.
  • Maintain professional and positive relationships with all participants, staff and program partners
