Administrative Assistant (Part-Time), Penn Center for Community Health Workers

The mission of the Penn Center for Community Health Workers is to improve health in high-risk populations through the effective use of Community Health Workers (CHWs). CHWs are individuals hired from the local community who share life experiences with high-risk patients. They help patients navigate the health care system and address key health barriers, such as affordable access to fresh food and housing. People who have worked with our CHWs have better patient experiences, improved health outcomes and fewer repeat visits to the hospital. We work with over1,500 patients annually and provide training and technical assistance to organizations around the country who want to build or expand CHW programs. Part of the University of Pennsylvania Health System, the Center has received national attention as a leader in advancing evidence-based models for CHW care, including profiles in the New York Times, National Public Radio, and Forbes magazine.
We’re looking to hire an organized and personable Administrative Assistant to support the day-to-day operations of a 50-person organization. This position plays a key role in ensuring smooth functioning of behind-the-scenes processes, both for our office and for our patient care.
Key Duties and Responsibilities:
Provide administrative support to CHWs in their patient care activities (e.g. following up with social service agencies)
Oversee organizational petty cash
Order office supplies; send/receive mail
Work with vendors, including Facilities and Information Services, to ensure smooth functioning of office
Organize and maintain organizational systems and records (e.g. organizational contact lists)
Manage administrative elements of projects, including hiring new staff and site visits
Schedule and ensure logistics for internal team meetings
Coordinate and manage special projects, as necessary
Minimum Requirements:
Education: High school diploma. Associates/Bachelor’s degree a plus
Prior administrative experience preferred
Exceptional organizational systems and skills
Extremely familiar with Microsoft Word, Excel, PowerPoint and Adobe Acrobat
Ability to learn new computer applications, as necessary
Excellent oral and written communication skills
Ability to work well with all levels of staff, as well as outside clients and vendors
