ADMINISTRATIVE ASSISTANT
Reports: Executive Director
Department: Administration/Program Administration
Employment Classification: Exempt, Full-Time

Overview:
Performs administrative duties for executive management. Responsibilities may include data entry; donor prospecting; coordination of MANNA’s social enterprise ventures; screening calls; managing calendars; making travel, meeting and event arrangements; preparing reports and financial data; and customer relations. Requires strong computer and internet research skills, flexibility, excellent interpersonal skills, project coordination experience and the ability to work well with all levels of internal management and staff, as well as outside customers and vendors. Sensitivity to confidential matters is essential and required.

Essential Duties and Responsibilities:

  • Data entry and analysis of donor/volunteer database (Salesforce)
  • Daily check processing through Apsona and thank you letter generation
  • Client service representative for all MANNA’s social enterprise ventures, Nourish to Go, PHMC Cafe, brownies and soups. Works directly with vendors, customers and clients to accept and fulfill all orders
  • Preparation and distribution of monthly board communication and all board materials
  • Prepares meeting materials and assists with the development of PowerPoint presentations
  • Records minutes at various meetings and archives them accordingly
  • Performs general clerical duties to include but not limited to: professional email communications and reminders, photocopying, faxing, mail distribution, maintenance of client level data entry, preparing invoices and order fulfillment documentation and filing.

Qualification Requirements:

  • College degree
  • Requires strong communication skills, both verbal and written, organizational skills, both analytical and problem solving, and the ability to work with confidential documents
  • Excel skills (worksheet, date entry, charts, graphs, pivot tables)
  • Proficient in MS Office, Salesforce, Apsona and Click and Pledge Virtual Terminal
  • Demonstrated personal initiative with high degree of flexibility, adaptability, drive and persuasiveness; ability to continuously reorient priorities and recognize opportunities as needed
  • Public speaking and ease in interpersonal dealing with colleagues, volunteers, clients and constituents
