Administrative Assistant, Consumer Credit Counseling Service of Delaware Valley

Job Title: Administrative Assistant ? Grade 3
Hours Required: 40 hours per week
Location: Philadelphia
Reports To: Operations Coordinator
Position Summary: This position is responsible for providing multi-faceted administrative support to the Operations Department.
Qualifications: High School or General Equivalency Diploma. Minimum 1 year previous experience performing similar employment tasks. Proficiency in Microsoft Office Suite of computer software. Basic accounting knowledge or experience is a plus. Ability to prioritize, multi task and meet deadlines in a fast paced environment. Excellent organizational and interpersonal skills as well as strong written and verbal communication skills. Ability to think independently, work proactively and exercise good judgment. Essential Functions:
? Review bank account deposits vs. QuickBooks entries on daily basis, address and resolve discrepancies
? Review bankruptcy and credit counseling fees as posted in DMS vs. QuickBooks
? Verify accuracy of all agency bills on a timely basis and maintain relationships with vendors; resolve discrepancies or disputes.
? Prepare monthly billing statements for organizations with whom we have business partnerships
? Assist Operations Coordinator with invoice preparation
? Assist Operations Coordinator with reviewing fair share disbursements
? Maintain and order materials used by counselors for clients
? Compile information, create and maintain reports
? Maintain office files, directories and data bases as needed
? Communicate accurately and clearly to internal employees and external partners
? Handle confidential material in a mature manner
? Notify managers when reviews are due
? Manage PLT Sheets and Calendar
? Compose and prepare letters and correspondence
? Coordinate meetings and events
? Set up conference calls
? Maintain appointments on calendar
? Prepare materials needed for conferences and meetings
? Monitor and maintain office supplies and marketing materials
? Order lunch for meetings and conferences
? Compose correspondence and presentations with proper spelling, grammar and articulation.
? Perform special projects and/or assignments as directed by the Operations Coordinator or other members of the management team
? Maintain regular and predictable attendance
? Work a flexible schedule and non-traditional working hours when required to meet business need
