POSITION DESCRIPTION

Title of Position: Admin/Finance Coordinator

Reports to: Director of Operations

Primary Objective: Offers project, administrative and financial support to the Philadelphia Academies, Inc.’s Operations Department.

Responsibilities and Duties:

Operations
• Work in concert with other Administrative Coordinators to facilitate the daily administrative/ operational needs of the Organization. Included in daily activities are (but not limited to): greeting PAI guests, answering – routing phones, incoming and out-going mail, etc.
• Provide administrative support to Director of Operations.
• Participation in all PAI special events.
• Provide administrative support to all Departments as requested.

Finance
• Managing the Accounts Receivable process (see procedures in shared/financial/procedures).
• Managing and updating Solomon customer records as it relates to Accounts Receivable.
• Participate in PAI annual audit as it relates to Account Receivable.
• Inventory management (form creation, recording, updating and reporting)
• Timesheet management (creation, recording, reporting, etc)

Fund Development
• Manage and maintain (in collaboration with Operations & Fund Development) Donor Perfect system/relational database of all PAI constituents.
• Coordinate the tracking of philanthropic requests, pledges and contributions from all donors (corporations, foundations, and individual donors).
• Maintenance and updating Donor Perfect as it relates to PAI donors, including thank-you letters. (See cash receipt procedures in Shared/financial/procedures). Provide reports as requested.
• Participation in all PAI special events.

Skills Necessary for the Successful Performance of Responsibilities and Duties:
• Excellent and accurate typing skills. Computer skills of Microsoft Word, Excel, Power Point.
• Professional phone manner and excellent communication skills.
• Problem-solving skills and ability to work independently.
• Attention to detail in work and ability to multi-task. Good organizational skills for managing projects.
• Excellent interpersonal skills to develop and maintain rapport with all Philadelphia Academies, Inc. board members and business partners.
• Proof reading, editing and listening skills a must.
• Positive, “can-do” attitude, flexibility, teamwork and attention to detail; high degree of initiative.
