Deputy General Secretary, Philadelphia Yearly Meeting

GENERAL SUMMARY: The Deputy General Secretary (DGS) serves as the chief operations director for Philadelphia Yearly Meeting and reports to the General Secretary. Responsible for setting conditions so that staff work geared towards strategic priorities can run effectively, the DGS directs activities and articulates expectations that further PYM’s mission and goals. The DGS provides direct support to several Board/Volunteer groups, and supervises and integrates the work of programs, communications, data, IT, and facilities.

DUTIES AND RESPONSIBILITIES:

  1. Work closely with the General Secretary to set organizational goals in alignment with yearly meeting priorities.
  2. Drive operational functioning (develop plans, implement procedures, and set measurable outcomes across areas of responsibility).
  3. Steward the interconnected web of relationships and communications among staff, governance, monthly and quarterly meetings, and PYM Friends overall.
  4. Develop, implement, and support practices that strengthen connections among meetings using multiple channels to keep all our stakeholders informed and engaged.
  5. Ensure staff workflows are efficient, effective, and responsive to emerging priorities. Ensure the activities of the staff are integrated.
  6. Establish, model, and guide clear collaborative processes and intra-office practices.
  7. Monitor daily operations and systems for clogs or problems. Respond to our IT and Friends Center property partners on issues related to technology, data, and facilities.
  8. Support the strategic planning and work of our Governance structure (called Councils) with the General Secretary to support various aspects of PYM governance and staff work aligning toward a common direction.
  9. As a member of the executive team (Ops team), collaborates with the General Secretary and Chief Financial Officer on matters related to business. Collaborates with the Director of HR and Inclusion and Director of Development as needed for success in their roles and for success in operations. Serves on ad hoc groups occasionally.
  10. Other duties as assigned.
