Jewish Federation of Greater Philadelphia has an opening for a Grants Coordinator, an crucial position in our grant-making and scholarship process.
POSITION PURPOSE
The Grants Coordinator position provides professional support for the grant-making and scholarship processes. Manages the day-to-day details of the grant and scholarship operations, systems, and workflow. Acts as a resource to staff, applicants, and grantees around the grant process and scholarship processes.
ORGANIZATION ROLE
This is a staff position in the organization that reports to the Senior Director, Strategy and Impact. It has authority to act on behalf of the Jewish Federation on matters related to the grant process in support of community needs and programming, and relationships with key community audiences and professionals in the field. It has shared accountability for activities and operating results in this area of Jewish Federation effort.
The Grant Associate has no direct supervisory responsibility. It maintains strong working relationships with the Jewish Federation’s staff and acts in a customer service capacity with applicants and grantees.

The primary job scope is around the grant funds and scholarship processes.
EXPECTED CONTRIBUTIONS
Grant Process – Key/Representative Activities:
- Ensure a transparent process for the entire grant life cycle, from request to close. This entails pre-award management, tracking payments, reviewing or producing relevant reports, monitoring and post-award management.
- Manage the review of funding requests for completeness, eligibility, and ensure compliance with IRS regulations.
- Conduct the due diligence that is required in the decision-making process, ensuring consistent application of statutory and internal requirements.
- Maintain accurate and current data in grants management system, including contact updates, weekly activities, and grant cycle information;
- Set up, execute and monitor grant payments and reporting schedule.
- Field common questions from organizations regarding the grant process; respond as appropriate or refer to program staff.
- Generate grant, financial, program and other reports as requested for committees and staff.
- Draft correspondence templates, including award agreements, to support the annual review of materials by appropriate parties.
- Manage communications with grantees and applicants, where appropriate on technical support and compliance-related information.
- Maintain annual grants management calendar. Schedule and track relevant deadlines.
- Maintain relevant electronic and paper records. Conduct periodic audits to ensure quality and completeness of data entered.
Scholarships – Key/Representative Activities:

- Conduct the due diligence that is required in the decision-making process, ensuring consistent application of statutory and internal requirements.
- Maintain accurate and current data in scholarship management system, including contact updates, weekly activities, and scholarship cycle information.
- Set up and monitor scholarship payments and reporting schedule.
- Regularly reconcile scholarship awards with available funds.
- Field questions from applicants, recipients, and program administrators regarding the application process and status; respond as appropriate.
- Generate scholarship, financial, program and other reports as requested for Board and staff.
- Draft correspondence templates, including award, to support the review of materials by appropriate parties.
- Communicate with applicants and recipients, where appropriate on technical support and compliance-related information.
- Maintain annual scholarship administration calendar. Schedule and track relevant deadlines.
- Maintain relevant electronic and paper records. Conduct periodic audits to ensure quality and completeness of data entered.
