Civic House at the University of Pennsylvania has an exciting opportunity for an Associate Director to join our staff. Among other duties, the person in this role will have significant programming and administrative responsibility for the Penn Civic Scholars Program, a four-year experience for students integrating their civic engagement and scholarship. The Associate Director will join us at a particularly important time as we are involved together in a process of examining and strengthening our work across all of our programs. POSITION DESCRIPTION
Associate Director, Civic House

OVERVIEW
The Associate Director will be responsible for a variety of programmatic and administrative aspects of the Penn Civic Scholars Program, reporting to the Executive Director of Civic House and the Faculty Director of the Penn Civic Scholars Program. Specifically, the Associate Director will be responsible for advising individual students, monitoring their progress through the program, co-facilitating the proseminar course, planning all program events, managing communications with internal and external constituencies, overseeing program assessment, and supporting fundraising efforts. The position will also work with other program staff in supporting Civic Scholars’ civic engagement and internships related to the overall program, as well as work on broader Civic House initiatives. While currently supported, the position is contingent upon continued funding.
SPECIFIC DUTIES
Advise Students and Monitor Student Progress
• With directors, counsel individual students and scholars as a whole concerning academic, service, and other issues in relation to the Civic Scholars Program
• Participate in pre-major academic advising for 1st and 2nd year Civic Scholars in the College of Arts & Sciences
• Communicate and coordinate with academic advisors across undergraduate schools and programs
• Monitor student progress in the program and maintain Civic Scholars record-keeping systems.
• Assist with coordination of advance course registration, including identifying Civic Scholar-required courses
• Advise Civic Scholars Student Advisory Board
Develop, facilitate, and coordinate proseminar workshops
• Work with faculty and students to plan, develop, and deliver content for the Civic Scholars Proseminar
• Help build upon and enhance existing proseminar curriculum.
• Develop and implement training for student co-facilitators
• Assess student learning outcomes
Civic Engagement
• With other Civic House staff, serve as a resource for Civic Scholars community service and advocacy projects and internships
• Develop short-term and ongoing project opportunities with community partners and students
• Plan and implement educational components of Civic Scholars community service programs
• Support students in identifying summer internship opportunities in the public interest
• Coordinate process for evaluating internship funding requests and disbursing funds
Admissions
• Serve as a point of contact for prospective Civic Scholars
• Coordinate and participate in all aspects of Civic Scholars admissions process, including application review, during both regular admission and during PennCORP
• Oversee application process, materials, and communications with Admissions Office and VPUL Technology Services
Program Assessment, Administration and Strategic Planning
• Create, solicit, and summarize regular mid-year and year-end program evaluations
• Assist with and participate in the program strategic and yearly planning processes
• Work with Executive and Faculty Directors to manage program budget
Other Program Responsibilities
• Coordinate ongoing community building experiences for Civic Scholars
• Plan and execute annual events, including fall retreat, capstone poster session, and the Civic Scholars certificate reception for graduating seniors
• Maintain communications with Civic Scholars, including program calendar and courseware
• Act as a point person for internal and external communications regarding Civic Scholars with prospective students, university offices, community partners, and vendors, among others
• Maintain program website
• Supervise, support, and provide feedback to undergraduate and/or graduate student staff
Civic House Responsibilities
• Participate and contribute to Civic House strategic planning
• Working with other Civic House staff, work to integrate Civic Scholars and Civic House programming.
• Coordinate resource-sharing and maintain regular communication with other Civic House staff
• Participate in broader Civic House events and programs, including PennCORP, lectures, one-time service projects, and center-wide retreats
Development and Alumni Relations
• Coordinate Civic Scholars Alumni communication and development efforts
• Working with Civic Scholars Directors and colleagues in Development and Alumni Relations, coordinate cultivation, solicitation, and stewardship of current and potential supporters.
Qualifications
BA/BS or equivalent required. Master’s degree preferred in Education, Social Work, Public Policy or related discipline and a minimum of 2-3 years professional-level involvement in higher education community service-learning activities, work with community-based organizations, and/or student affairs and academic advising work; relevant experience may substitute for masters-level degree. Applicants should possess a deep understanding of college student development and of social justice issues related to community engagement and advocacy work. Experience working closely with faculty is desirable. Applicants must also be able to demonstrate strong facilitation, speaking, writing, and program management skills, as well as a high level of initiative. Applicants should demonstrate a commitment to student learning and development and responsible community engagement. Proficient computer skills required including word processing and database use; the successful candidate will have experience with additional software and with navigating and creating internet-based resources helpful, including social media and other content.
