Program Assistant Position Description
The Program Assistant will perform a variety of duties across multiple projects specific to young Men who have Sex with Men (MSM) patients including support group facilitation (both onsite and at multiple offsite venues); assist in all facets of the SWEAT intervention implementation including recruitment, retention, data collect and report preparation. The SWEAT intervention is designed for young MSM of color, ages 18 – 29, and at risk for contracting or transmitting HIV. This staff will be responsible for adhering to the core SWEAT curriculum as a co-facilitator and actively work to support all project efforts in health promotion and education. This staff must have a clear understanding of behavior change practices. Familiarity working within and/or organizing various ethnic and cultural communities is essential, including but not limited to the following populations: people of color, gay/bisexual community and youth. This staff should also have the ability to build rapport with the prioritized populations.
In addition, this staff will assist with our CDC study contract with the Philadelphia Health Department for young MSM of color. These duties include recruitment and screening of participants through social media and/or social networks techniques, obtaining informed consent, scheduling and conducting study visits, specimen collection, administer rapid HIV test, survey distribution, data entry, data exporting and reporting, other miscellaneous study tasks as well as coordination of quality improvement projects all under the direction of the Health Education Program Manager within The Dorothy Mann Center for Pediatric and Adolescent HIV at St. Christopher’s Hospital for Children. This is a full-time position.
Qualifications
1. Have knowledge of and experience in working in HIV/AIDS setting.
2. Must be experienced and comfortable with public speaking, group facilitation and an understanding of group dynamics.
3. Must be available to work nights and weekends.
4. Proficient in Microsoft Office, management of spreadsheets, and ability to learn new software programs relative to HIV testing and other public health programs.
5. Experience with using various social media platforms and social networks strategy (SNS) is highly preferred.
6. Knowledge of current social media sites and platforms that young MSM access is highly preferred.
7. Able to react to change productively and handle other essential tasks as assigned.
8. Sensitive to cultural, economic, gender, and sexual orientation differences.
9. Excellent writing skills are required.
10. Ability to manage quantitative information, analyze aggregate data and report out trends, barriers and successes based on data.
11. Ability to function with minimal supervision in a clinical research setting.
12. Ability to learn quickly; work independently as well as collaboratively as a member of the team.
13. Excellent communication and interpersonal skills to interact with staff, parents and children.
14. Experience working with teens, adolescent and young MSM of color is strongly preferred.
15. Ability to be discreet with confidential materials and sensitive topics.
16. Ability to handle multiple, time dependent tasks in a fast paced complex work environment.
17. Must be highly motivated, with strong work ethic and excellent organizational skills.
18. Ability to pay strict attention to detail.
19. Ability offer flexible hours to accommodate scheduling needs of study participants.
20. Bilingual (Spanish speaking) is preferred.
21. Certified in Phlebotomy is preferred.
22. Certified to conduct HIV CTR services in Philadelphia is required.
23. Minimum of a Bachelor’s Degree is required.
Responsibilities
1. Organize referrals and follows up on intake process for new members for each SWEAT group.
2. Conduct other recruitment activities (i.e. advertisements, social media, etc.) across all sites; provides weekly updates to program manager of SWEAT recruitment goals.
3. Coordinate the group meeting space(s) with the individual site coordinator; co-facilitate group intervention and all other duties associated with SWEAT group pre & post implementation.
4. Adherence to CDC study protocols and requirements.
5. Compliant with IRB requirements and Confidentiality.
6. Recruit CDC study participants through designated social media platforms and social networks strategy (SNS) techniques.
7. Screen potential study participants, including face-to-face and telephone interviews.
8. Schedule study visits, maintain calendar for follow-up evaluations, and follow procedures for participant retention.
9. Participate in the informed consent process and data collection.
10. Assure accurate completion of questionnaires and other data collection during study visits.
11. Administer rapid HIV testing to study participants according to departmental protocols; ensure adherence to HIV testing Quality Controls.
12. Obtain specimens for supplemental confirmatory HIV testing at the direction of the responsible medical personnel.
13. Assist with preparation and organization of regulatory documents.
14. Maintain and organize study binders and files.
15. Report progress in interim and monthly documents.
