Job description
Responsibilities:
Under the supervision of the Director of Programming, the Program Coordinator is generally responsible for the administrative tasks at Jane Addams Place, as well as, duties related to volunteer outreach and tracking donations. This position splits its week, four days at Jane Addams Place and Fridays at our main office in Fishtown. This position works closely with LSH management, development department, and other stakeholders.
Functions and Duties:
- Answer phones and welcome guests and residents to the shelter.
- Maintain meetings and events schedule.
- Set up rooms for activities and events.
- Ensure thank you cards are promptly mailed out.
- Maintain monthly calendar of events.
- Maintain record of CPR notes and send to appropriate staff.
- Greet visitors and direct them to meeting areas.
- Order office supplies and maintain inventory of office supplies.
- Act as liaison between Jane Addams Place and our main office in Fishtown.
- Track incoming donations and inform the development department of their arrival.
- Manage volunteer database, including tracking contact information.
- Outreach to volunteers about opportunities for service.
- Support Resident Advisor staff with tracking and submitting census data.
- Collect and administer resident’s keys.
- Internally post flyers for department and resident events.
- Maintain on-site files and help prepare for audits.
- Maintain social media presence for the shelter.
