Dress for Success Philadelphia is seeking a Manager of Operations who will work closely with staff, interns, volunteers and partners to oversee the operations of the Philadelphia branch and ensure that we are providing exemplary service to clients in Philadelphia region. This position reports to the Executive Director.
The ideal candidate is highly motivated, has exceptional operations skills and is passionate about helping women succeed in life and in their careers. In addition, the model candidate is results driven, with experience in community.

Responsibilities

  • Responsible for general operation and maintenance of the branch;
  • Work collaboratively with the Dress for Success team to increase branch efficiency, partnerships, collaborations and clients served;
  • Responsible for referral system: processing all referrals from receipt, scheduling appointments, post-service data-entry, troubleshooting with referring partners, and maintaining accurate and effective records;
  • Responsible for maintaining effective client database;
  • Train new referral agencies; primary contact with all referring partner agencies;
  • Maintain inventory, supplies and donations for the branch;
  • Manage clothing and accessory inventory; maintain and organize boutique floor and basement;
  • Manage Suit Drives and clothing and accessory donations, including donor acknowledgment/tax receipts;
  • Manage bulk and special clothing orders for PA Workwear clients;
  • Ensure adherence to the State PA Workwear guidelines/contract; generate monthly reports to the tate; attend Local Management Committee meetings;
  • Manage client database and generate internal and external reports/statistics;
  • Manage clothing/accessory donor tracking system and generate reports;
  • Maintain physical environment/space, including file storage, cleaning/trash/recycling systems;
  • Manage supplies for office and program operations;
  • Manage distribution of excess clothing inventory;
  • Manage phone and technology systems;
  • Serve as IT point person: troubleshoot issues including hardware, software and website;
  • Provide monthly reports to Executive Director;
  • Conduct and coordinate clothing sales for clients and the public several times per year;
  • Ensure accurate and timely data collection for all programs;
  • Coordinate with Executive Director on outcomes tracking;
  • Participate in local networking and fundraising events.

Qualifications

  • Bachelor’s degree; plus three years nonprofit work experience (excluding as volunteer or intern);
  • Strong leadership, organization, management and supervisory skills;
  • Strong ability to give attention to detail and meet deadlines;
  • Effective project planning with timelines;
  • Excellent interpersonal/public relations skills with the ability to engage a wide range of stakeholders;
  • Excellent computer, written and oral communication skills;
  • Ability to multi-task, work in fast-paced environment and be a great team-player;
  • Ability to take initiative and work unsupervised;
  • Passion for helping women succeed in the workplace;
  • Strong MS Office skills; proficiency in the use of communications and office management software applications with an awareness of web/social media applications;
  • Knowledge of the Spanish language required, proficiency strongly preferred;
  • Dedication to continual professional development of self and others;
  • Demonstrated understanding of women’s issues.

Other Skills/Abilities Required

  • Able to lift 50 pounds;
  • Able to walk up and down stairs regularly.

Specifics
Hours are 9am to 5pm Monday through Friday; occasional evening and weekend hours;
Position is based in Philadelphia.
