JOB DESCRIPTION
POSITION TITLE: ADMINISTRATIVE ASSISTANT
REPORTS TO: TRUANCY SUPERVISOR
LOCATION: CITY-WIDE TRUANCY PROGRAM
STATUS: FULL TIME, SALARIED EMPLOYEE (+ BENEFITS)
EDUCATION: Minimum of Secretarial training from an approved school, an Associate Degree in General Studies, Business Administration, computer technology or a related field, or Five years experience in working in nonprofit and/or community based human service agencies.
QUALIFICATIONS: Strong interpersonal and communication skills. Detail oriented. Strong organizational skills with the ability to manage multiple and varied tasks. Proficient with computer programs: MS Office Suite (including database management, excel, power point, etc.) and the Internet. Day and evening hours – some weekends.
BASIC FUNCTIONS: Manages all operations of the office; enters all youth/family data into computer systems; maintains an accurate and reliable filing system; assists program in outreach, recruitment, and enrollment of all participants in the program; functions as the principal administrative support to the program staff.
SPECIFIC RESPONSIBILITIES:
1. Functions as the principal administrative support to the Program Supervisor and Case Managers.
2. Assist in the preparation of all promotional material, workshop pamphlets and related documents pertinent to outreach/recruitment/enrollment of participants into the program.
3. Track accurately all participants and staff attendance at the program.
4. Maintain daily an accurate data base of all participants’ information along with a file hard copy.
5. Assist Program Supervisor track the utilization of petty cash, storage of equipment, program/office supplies with timely submission of reports to the administration.
6. Collect necessary data for statistical and comparative purposes.
7. Participate in ongoing program performance and quality assurance evaluation protocols.
8. Prepare all appropriate reports directly and/or indirectly as related to the program.
9. Attend all internal agency wide and external meetings as relevant to the program.
10. Participate in all fundraising events as deem appropriate by the administration.
