JOB TITLE: Assistant Program Manager
Reports To: Meal Packaging Program Manager Non-exempt

SUMMARY:
The Assistant Program Manager is responsible for a wide array of tasks to support Stop Hunger Now’s meal packaging program including maintenance and cleaning of the warehouse and equipment, receiving and shipping goods, facilitating meal packaging events, and assisting in program promotion. Through daily duties, assistant program manager also represents Stop Hunger Now in the community and acts as a source of information about the program, the organization, poverty, and hunger.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Warehouse Management:
Adhere to warehouse management procedures pertaining to receiving and shipping goods utilizing FIFO. Arrange warehouse to maximize flow and efficiency. Load and unload trucks by hand, pallet jack, and forklift. Prepare finished meals for shipping: manually shrink wrap, label, and palletize. Ensure that the warehouse meets federal and state regulations related to cleanliness, food storage, and food processing imposed by the USDA and FDA. These regulations extend to each meal packaging event.
Maintenance and Cleaning:
Clean and maintain entire warehouse and all equipment. Perform preventative maintenance on forklift. Responsible for securing the premises.
Inventory Management:
Monitor inventory of raw ingredients and equipment using inventory forecasting procedures and order ingredients and equipment as needed. Ensure that adequate stock of ingredients and equipment is available at all times to meet the needs of the program. Perform monthly physical count of inventory and submit inventory reports.
Facilitation of Program:
Assist program manager in development of logistical plans for meal packaging events. Transport materials to and from satellite packaging locations in large box trucks. Facilitate meal packaging events including set up of raw materials and equipment, delivery of educational presentations about hunger and poverty and training volunteers on the packaging process. All meal packaging events must adhere to state and federal guidelines for food processing as dictated by the USDA and FDA. Collect and deposit revenues generated by meal packaging events according to organizational financial procedures.
Volunteer Management:
Train meal packaging volunteers on the meal production process to ensure cleanliness, consistency, and professionalism at all events. Manage large groups of volunteers of all ages/cultures/abilities, delegate tasks to groups, adjust groups to maximize efficiency, and use independent judgment to make necessary adjustments and respond to challenges. Provide volunteer group with all required documentation. May assist with recruitment of volunteers for packaging events.
Record Keeping:
Ensure documentation is processed and maintained including receipts, bills of lading, and receipts of order. Assist program manager in tracking of meal production and quantity of meals shipped on a monthly basis. Maintain a log of all communication with constituents. Help to track the status of meal shipments that have departed from the warehouse and communicate the status of their packaged meals to packaging groups.
Community Liaison:
As a representative of Stop Hunger Now in the community and surrounding region, the warehouse manager will act as a source of information for the program, and assist in the maintenance of relationships between Stop Hunger Now and its volunteers and donors.
Program Promotion:
Assist program manager with promotion of meal packaging program through speaking engagements with schools, universities, civic organizations, religious congregations, businesses, private individuals and other groups.
Other:
Assistant program manager will perform all duties in accordance with the standard operating procedures as written in the standard operating procedures manual. Other duties will be assigned as needed.
SUPERVISORY RESPONSIBILITIES:
This job assists in the supervision of volunteer groups.
QUALIFICATIONS AND SKILLS:

– Bachelor’s degree or one to two years related experience and/or training; or equivalent combination of education and experience
– Current valid driver’s license and clean driving record, commercial vehicle license a plus
– Ability to frequently lift 50 lbs, occasionally up to 75 lbs and move pallets of up to 2,500 lbs. utilizing pallet jacks and lifts
– Must be able to work flexible schedule including most weekends and some evenings, and travel frequently
– Knowledge of inventory management and requisition procedures
– Strong presentation and public speaking skills
– Proficient with Microsoft Office, database and internet software
– Ability to organize and prioritize multiple job tasks, and to meet deadlines
– Experience, education or knowledge related to hunger, international development and/or non-profits strongly preferred

SPECIALIZED EQUIPMENT USED:
Box trucks, electric and propane powered fork lifts, and pallet jacks.

While performing the duties of this job, the employee is frequently required to sit and talk or hear. The employee is occasionally required to stand; walk; reach with hands and arms, climb or balance and stoop, kneel, crouch, or crawl.
The employee must frequently lift from 50 pounds to up to 75 pounds and move pallets weighing up to 2,500 lbs utilizing pallet jacks and lifts.
Employee may occasionally work in conditions with temperature extremes (non-climate controlled warehouse) or outdoors.
