Position Summary
As we continue to expand our impact in Greater Philadelphia and surrounding communities, we are seeking a Development Coordinator to ensure that our development team maximizes the opportunity for growth and sustainability in the region and best positions Teach For America as a ‘ philanthropic cause of choice’ across our community. We are seeking a coordinator to lead the administrative, logistical, and event support operations of the growing Greater Philadelphia development team in a way that maximizes the team’s effectiveness and enables the region to reach its ambitious development goals. The development coordinator provides critical operational support through execution of projects and events, database management, and logistical and administrative support for the development team. The coordinator will report directly to the Managing Director of Development, and serve as a member of the Greater Philadelphia operational leadership team, working alongside a team of six coordinators or assistants to design and implement strategy around cross-functional administrative support, and regional office culture.

In the 2010-2011 school year, more than 8,200 first- and second-year Teach For America corps members will be teaching in 39 regions across the United States. Since 1990, Teach For America corps members have reached more than 3 million students. More than 20,000 Teach For America alumni are working in education and many other fields, where they continue to advocate for students and families in low-income communities. While only one in six corps members say they were interested in the teaching profession before joining Teach For America, nearly two-thirds of our alumni remain in the field of education.

Team Overview
Founded in 2003, Teach For America – Greater Philadelphia has more than 350 corps members reaching more than 22,000 students in Greater Philadelphia public schools. Additionally, over 800 alumni are working from all sectors to close the achievement gap in the area. The region is supported by a funding base of over $7 million, and approximately 30 regional staff members work to train and support corps members, continually strengthen relationships with local schools and districts, foster the leadership of local alumni, and continue to grow the regional funding base to ensure that Teach For America can have an even greater impact.
Responsibilities
Ongoing
Administrative Support
Assuming a proactive role in increasing the efficiency and organization of the development team
Preparing meeting packets, toolkits, proposals and mailings
Schedule and calendar management and coordination for regional development team
Managing the administration and logistics for advisory board meetings and on-going board correspondence
Supporting the management of the regional “Sponsor A Teacher” campaign (our fundraising campaign that matches individual donors to Teach For America teachers) by working with the Executive Director to ensure ongoing communication between corps members and their sponsors
Other responsibilities as determined by organizational need
Development Operations
Maintenance of a comprehensive fundraising database (Raiser’s Edge data entry, report generating, database maintenance, donor hard files are up to date)
Processing contributions in funder management database and generation of acknowledgments of contributions
Managing the deadline-driven calendar of all development activities related to corporations and foundations, by researching grant guidelines and submission of grant materials on time
Maintaining the electronic and hard copy development files systems
Conducting preliminary funder research, supporting other development team members in cataloging and collecting information and data necessary for grant reports and updating proposals and supplementary materials
Conduct excellent donor interactions and communications, ensuring that current and prospective donors have highly effective opportunities to engage with our program, including:
Producing high-quality written communications (e.g., letters of intent, proposals, follow-up correspondence, update reports, thank you letters, etc.)
Planning and running inspiring receptions and events
Partnering with the national office to adapt templates and best practices
Facilitating the participation of teachers
Improving and managing the operational systems required to manage a high volume of donor cultivation, stewardship and research (i.e., managing tracking systems and the integrity of our donor database; gift operations: tracking, school district invoicing, cash collection, processing, acknowledgment; hard and soft copy files, etc.)
Writing and Communications
Editing and compiling proposals, mid-year reports and final reports for foundation and corporate grants
Editing and coordinating mailings to funders, including thank you letters and tax acknowledgments, update letters and newsletters/e-newsletters, and introductory letters
Assisting in the creation of compelling fundraising communications
Executing Events
Coordinating and executing all of the region’s development related events (includes formal receptions as well as school visits/tours for donors and prospective donors) and ensuring cross-team collaboration
Oversee events budget and external vendor communications
Qualifications
Candidate Profile and Experience Prerequisites
Bachelor’s degree or high school diploma with experience required
Prior administrative experience is preferred
0-5 years of experience
Excellent organization skills and attention to detail
Excellent ability to multi-task accompanied by a spirit of flexibility and positive outlook
Strong written and interpersonal communication skills
Ability to work effectively in a fast-paced, deadline-driven environment
Strong research and analytical skills
Strong customer service ethic
Knowledge of MS Outlook, PowerPoint, and Excel are preferred
Knowledge of Raiser’s Edge and/or ability to learn new software applications quickly are preferred
