Description
Foundations, Inc., a nationally-recognized, non-profit education capacity-building organization, seeks an energetic, highly professional, and motivated Administrative Assistant to support the work of our Philadelphia Center for Arts & Technology (PCAT). Our ideal candidate would be extremely well organized, detail oriented, have superior communications skills, and excellent computer skills in all Microsoft applications (Word, Excel, PowerPoint, and Outlook). The candidate should possess excellent customer service skills and have the ability to interface with all levels of management.
Requirements
•Must have excellent written and verbal communication skills
•Associate’s degree or equivalent combination of education and experience
•Minimum of 2 years office experience
•Must have strong proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
•Must be able to coordinate multiple activities and adhere to deadlines
•Must be able to work effectively in a team environment
Job Duties Include, But Are Not Limited To:
•Handling all receptionist responsibilities for PCAT, including all incoming and outgoing phone calls and mail, greeting and signing in all visitors, and providing information to all interested community members
•Providing outstanding customer service to visitors of PCAT as well as administrative support and service to the Executive Director of PCAT and Foundations, Inc. staff members
•Managing and maintaining the lobby and reception areas
•Assisting with coordination and preparation of all PCAT programs and events
•Preparing, formatting, and proofreading letters, reports, and other formal correspondence
•Completing forms and facilitating office processes
•Maintaining filing system
•Coordinating and organizing meetings, travel arrangements
•Assisting with projects and proposals as assigned
Work Schedule
The Administrative Assistant position is critical to the efficient operation of PCAT and the achievement of established objectives. Regular attendance and punctuality are essential.
• Typical work schedule is Monday through Friday, 8:30am to 5:30pm
• Schedule may vary and candidate must be available a minimum of one evening per week
Compensation
•Competitive compensation will be offered that is commensurate with skills and experience.
