Breakthrough of Greater Philadelphia, a nonprofit organization, is a six-year academic enrichment program that builds a path from middle school to college for low-income students from Philadelphia and Camden. Breakthrough also inspires talented college and high school students to become educators and engaged citizens by giving them responsibility for teaching in its programs.

Breakthrough provides rigorous academic enrichment and college preparation for students from 7th through 12th grades through summer and school year programming; it also provides high school and college admissions support and counseling. College and high school students from around the country serve as teacher interns in Breakthrough’s classrooms. Breakthrough emphasizes academic excellence, family involvement, leadership, teamwork, creativity, and diversity. Breakthrough is an affiliate of the national Breakthrough Collaborative. OVERVIEW
Breakthrough seeks an individual to work on a part-time basis, 15-25 hours per week, providing administrative and bookkeeping support to the Executive Director and general support to a staff of seven. The Administrative Assistant/Bookkeeper reports to the Executive Director. The position is to begin the second or third week of August.

PRINCIPAL DUTIES AND RESPONSIBILITIES

Administrative
• Maintain an organized system for files and office/program supplies
• Manage Staples account and order office and program supplies for staff
• Coordinate the collection and organization of clearances and other required personnel documents for full-time and seasonal employees and volunteers
• Collect incoming mail and distribute to appropriate staff members
• Process incoming and outgoing mail and general email box
• Make bulk copies and coordinate mass mailings
• Work with the board liaison to coordinate Breakthrough’s annual teacher welcome barbeque
• Assist program staff with scheduling of student and teacher interviews
• Enter student and teacher data in Excel and Salesforce
• Maintain up-to-date staff and board directories
• Coordinate space for full board and committee meetings
• Serve as a liaison between Breakthrough and its host school on matters related to office maintenance and housekeeping
• Perform other administrative tasks as needed

Bookkeeping (QuickBooks)
• Collect credit card statements/receipts from staff and enter data
• Process invoices and check requests
• Make bank deposits and enter deposit detail
• Assist with gathering and preparing documents and reports for the annual audit
• Conduct monthly cash reconciliations
QUALIFICATIONS

  • Highly organized and ability to manage multiple projects
  • Detail-oriented and ability to complete assignments in an accurate, professional and timely manner
  • Understand basic budgeting and accounting principals
  • Demonstrate professionalism and strong communication skills
  • Proficiency in Microsoft Office (see note below)
