The Grants Associate is dedicated to achieving fundraising goals for Congreso’s programmatic divisions. This position oversees the grant writing process from the initial stage of research to proposal submission and follow-up, including writing acknowledgements and reports. A general overview of primary responsibilities includes: prospect research; strategic planning; interviewing staff for information; grant research; proposal writing, proofreading, and editing; task assignment and follow-up; scheduling; record-keeping; data management; and proposal assembly and submission.

Working with the Director of Grants and other Grant Associates, has internal contacts with administrative and programmatic staff and external contact with contract administrators and government agencies and thus must maintain a professional manner. This position holds access to sensitive Congreso information and is expected to maintain confidentiality and discretion.

The Grant Associate works within the agency’s Programmatic Administration department and reports to the Director of Grants. This unit falls under the management of the Chief Programs Officer (CPO).

Essential Functions

  • Research and Training
    • Use technology tools, resources, and networking to identify and cultivate potential funding opportunities.
    • Review funder information and application guidelines, including in web sites and printed materials, to help determine if funder priorities align with Congreso’s programs and funding priorities.
    • Communicate when necessary or instructed with potential and/or existing funders.
    • Make recommendations regarding programmatic funding strategies.
    • Maintain timely correspondences and communication with current and potential funders.
    • Research grant opportunities, analyze prospective funders’ past grant making histories, and present relevant information to appropriate Congreso programs for consideration.
    • Research, identify, and participate in internal and external events, training, seminars, and other activities necessary to state current with philanthropic trends and new funding sources and opportunities.
    • Regularly update database for agency use in proposals, reports, and other functions.
    • Regularly collect and update program information for use in grant proposals and agency marketing materials.
    • Identify and become familiar with various funding information resources including ongoing review of listserv information about grant opportunities.
    • Stay current with general social service trends.
    • Attend Congreso programs and events when possible or requested.
  • Proposal Preparation
    • Support the Director of Grants in the coordination of meetings with the grant department and program staff to plan grant proposals and provide consultation on:
    • Maximizing resources available within Congreso,
    • Developing a timeline for proposal development and submission,
    • Assigning responsibilities related to grant submissions, and
    • Ensuring accountability.
    • Research and analyze data and statistics, demographic information, and community need and resource information for proposals.
    • Write and assemble proposals and LOIs for submission to funding agencies, including all photocopies, cover letters, budgets, and attachments.
  • Administration
    • Manage grant writing, proposal assembly, proposal submission processes according to guidelines and specific and individual grant needs.
    • Manage database and input and track all grants.
    • Help create and maintain forms and templates necessary to support and facilitate the grant development process.
    • Support the Director of Grants in managing a calendar of grant application deadlines and follow ups on grants submitted.
    • Review each grant proposal to ensure program staff follow procedures and meet all grant requirements.
    • Support the Director of Grants in maintaining electronic and paper files of proposals; and organizing and monitoring filing of proposals.
    • Track funder prospects, profiles, and interactions in the database.
    • Communicate data needs to Quality Assurance Manager to ensure necessary information is available for grant application purposes.
    • Help create and maintain funder and program profiles for internal and external marketing purposes.
