Overview: Boys & Girls Clubs of Philadelphia is seeking an Executive Assistant reporting to the Chief Executive Officers at the corporate location in Center City Philadelphia.

General Summary: The Executive Assistant will assist the Boys & Girls Clubs of Philadelphia CEOs in the overall administration of the central office and the organization. He/she will provide efficient and high level administrative support, including grant administration, gift processing and acknowledging, data entry, report preparation – for the BGCP board of directors and the staff – and meeting preparation.

The ideal candidate should be able to work in a fast paced environment and be excellent at multi-tasking. He/she must be willing to take initiative, be a team player, and have an interest in event planning and fundraising. A flexible work schedule is a must.

Essential Job Duties:

  • Works with the Chief Executive Officers to manage day-to-day operations of the central administration office, including management of all office administrative matters, the CEO’s credit card, and organizational meetings
  • Assists in the preparation and oversight of operational policies and procedures regarding the efficient administration of the central office and the organization, in general.
  • Prepares written documents and makes oral presentations for the BGCP board and staff on administrative and organizational matters at the request of the CEOs.
  • Collaborates with the grant administrator and director of development in administering all aspects of a grant-writing program that seeks private and public sector funds for organizational priorities as defined by the strategic plan, including preparation of grant applications and evaluation and reporting outcomes of programs funded.
  • Manages the gift processing process, in cooperation with the development assistant, including opening mail, classifying gifts received, entering gift and pledge information into the Raisers Edge system, updating donor records in the Raisers Edge system, producing donor and income reports and acknowledgment letters.
  • Assists the development staff, as requested by the CEOs, in carrying out annual development activities, including special event planning, public relations, use of social media, and grant-writing.
  • Assists in the coordination of all efforts to implement and use the organization-wide outcome measurement system to allow for the collection, analysis, and reporting of data on the performance of programs that are funded.
  • Answers the phone, arranges meetings for the CEOs, organizes staff functions, and maintains a clean and professional work environment in the central administration office.
