Background

Founded in 1972, PEC is a comprehensive homeless services provider and experienced nonprofit community development agency based in West Philadelphia. The agency employs nearly 80 staff to serve its community and constituents through social services, counseling, case management, commercial corridor revitalization, community organizing, and quality affordable rental housing.

Qualifications

Associate’s Degree is preferred with a minimum of two years experience; administrative/office manager experience or equivalent technical training is preferred.
Experience in fundraising operations/software desired.
Excellent organizational and administrative skills required.
Superior independent work habits: detail oriented, flexible and problem solver.
Strong written and oral communication skills.
Excellent interpersonal skills are necessary.
Proficiency with MS office programs: Word, Excel, Outlook and PowerPoint. Must have experience with mail-merge functions.
Ability to maintain high level of confidentiality.
May be required to work some holidays, evenings and weekends.

Reports to: VP, Resource and Business Development

Responsibilities

The Coordinator, Development and Volunteer will support the administrative and clerical functions of the Development department; provide administrative support to senior managers and coordinate volunteer services.

Administrative Department support

Coordinate mail functions for Development and senior managers which includes: donor mailings, interoffice mail, incoming and outgoing US mail and carrier shipments.
Assist with special projects and prepare special correspondence.
Maintain filing system for proposals, reports and donation files.
Arrange and schedule meetings; organize materials for scheduled meetings. Take and prepare minutes.
Participate and coordinate event/exhibition related activities.
Accept special events registrations.
Process all donor gifts: scanning of checks and entering gifts.
Manage department office equipment and supplies.

Volunteer Services

Organize and coordinate the recruitment of volunteers for programs and special events.
Ensure and process all required documents for volunteers: application, criminal background check and child abuse clearance.
Track and report volunteer hours.
Provide guided tour of PEC facilities to all volunteers and donors.
Maintain position description for all open volunteer positions.
Develop and coordinate a calendar of volunteer programs.
Maintain a positive and clear communication with volunteers regarding updates and upcoming events.
Host volunteer orientation.
