PHILADELPHIA OFFICE MANAGER

The American Civil Liberties Union (ACLU) of Pennsylvania seeks an Office Manager. The Office Manager provides primary administrative support for the ACLU of Pennsylvania and helps facilitate the smooth running of the Philadelphia office. The Office Manager reports to the Executive Director.

The ACLU of Pennsylvania is the state affiliate of the American Civil Liberties Union, the nation’s largest civil liberties and civil rights organization. The ACLU of Pennsylvania promotes, defends and advances constitutional principles founded in the Bill of Rights through litigation, legislative advocacy and community education. It has 11 chapters, over 12,000 members and 16 full-time staff located in 3 offices statewide.

JOB DESCRIPTION
Specific responsibilities include:
? Recruiting, training, scheduling and supervising volunteers.
? Managing office systems, including voicemail system, training staff as appropriate.
? Overseeing bookkeeping services. Providing documentation for annual financial audits.
? In coordination with Executive Director, creating and maintaining payroll and human resources files and completing appropriate related forms.
? Ordering office equipment and supplies and negotiating with vendors.
? Tracking office supply usage, keeping inventory of office supplies, stationary, supplies for equipment.
? Coordinating and scheduling meetings, production and mailing of meeting agendas, newsletters, bulk membership mailings and other material.
? Handling and distributing incoming correspondence.
? Supervising Administrative Assistant.

QUALIFICATIONS
1. Strong organizational, administrative and interpersonal skills are required. Prior office management or significant clerical experience is required. Demonstrated bookkeeping skills a strong plus.
2. Must be self-motivated, detail-oriented and willing to work as part of a team.
3. Computer proficiency a must. Experience with Microsoft applications, including Word, Excel, Access and Internet Explorer, is required.
4. Experience working with and/or supervising volunteers helpful.
5. Human resource experience helpful.
