Job Summary

The AIDS Education Month (AEM) Coordinator is responsible for overall coordination and event planning for AIDS Education Month, a series of conferences and programs held every June in Philadelphia with the goal of raising HIV/AIDS awareness in the Philadelphia area. In addition, this position entail assisting in fundraising, marketing, volunteer recruitment, community collaboration, and content development for AEM. AIDS Education Month features the following programs; an Opening Awards Ceremony, the HIV Prevention and Outreach Summit, Beyond the Walls: the Prison Health Care and Reentry Summit, The Faith Leaders Summit, the Community Cookout, the Jonathan Lax Memorial Lecture, Movements for Change, a series of youth-oriented programs, extensive HIV testing initiatives around National HIV Testing Day, over 100 community presentations, and several smaller events. This position is responsible for logistical oversight of AIDS Education Month, communication around AIDS Education month, and assistance with content and programming development. The AEM Coordinator is reports to the Director of Education, but works closely with Philadelphia FIGHT’s Director of Development and Communications to ensure appropriate coordination of all grants submissions and marketing materials. The AEM Coordinator represents Philadelphia FIGHT both on site and in the community, in a courteous, efficient manner that reflects the high level of integrity and customer service mandated by Philadelphia FIGHT.

Tasks and Responsibilities
Event Planning

Contact, select, and reserve all venues for all AEM events
Logistical coordination including:
Work with venues and caterers to coordinate food at all events
Coordinate all AV equipment and necessary supplies for all AEM events
Coordinate the set up and breaking down of all events
Attend all events
Attend all regular committee meetings for the Prevention Summit, Prison Summit, Youth programs, Testing Day events, and Faith Summit.
At the direction of event chair/staff contact speakers and maintain speaker database
At the direction of Director of Education maintain contact with community planning partners and maintain database of AEM Planning partners
Attend all events to ensure smooth logistics

Communications/Marketing

Send out regular email updates and manage all AEM related newsletters and lists about upcoming events
Maintain AEM website
Update FIGHT facebook and twitter pages with AEM information
Assist Director of Development and Communications in development of AEM logos, posters, flyers, palm cards and other materials
Assist Director of Development and Communications in ordering promotional materials for AEM
Assist Director of Development and Communications in coordination of marketing with Septa and other business partners
Assist Director of Development and Communications in sending out Press Releases and maintaining media contacts.

Content Development

Staff AEM planning committees
Assist in researching and developing workshops for AEM conferences and programs with specific attention to the Prevention and Outreach Summit and the Prison Health Care and Reentry Summit.
Contact and confirm speakers for workshops. Assist committees to identify appropriate moderators and develop moderator questions or panel talking points.
Design and develop program books and materials for events
Assist in developing Testing Day activities

Fundraising

Assist the Development Director as needed in applying for grants for AEM
Assist in soliciting advertisements for the Resource Guide
Assist in coordinating corporate sponsorship of AEM events

Volunteer Coordination

Contact previous volunteers
Set up volunteer tasks and schedule
Train volunteers in a variety of tasks
Maintain communication with volunteers throughout the year.

Other Duties

Collaborate with other agencies in local events, meetings, and programs that are related to job duties.
Attend all required trainings.
Maintain all records and documentation related to AEM

Qualifications
Minimum Requirements

At least three years experience event planning, communications, or program development.
Experience working in the HIV/AIDS field or knowledgeable of HIV issues.
Knowledgeable of local resources and services.
Proficient in Microsoft Office and essential office computer applications.
Sensitive to cultural, economic, gender, and sexual orientation differences.

Demonstrated experience working with high-risk populations and facilitating meetings and groups; excellent reading skills and deductive reasoning skills; excellent communications, interpersonal skills and collaborative skills; flexible, self-motivated, organized, able to work well under pressure; computer literacy required; familiar with Adobe products or other design software desirable.

Hours of Work

The AEM Coordinator will work 40 hours per week.
This is an exempt position.
The salary range is between $35,000 and $38,000.
