Position Description

Position Summary

The Activities Coordinator will oversee the delivery of activity-related programming to members at the Senior Center. The Activities Coordinator will create and coordinate the monthly calendar of events and activities. This position will advertise, communicate, and generate interest in program activities and events. This position will also assist with providing administrative services, participate in some activities, assist with meal preparation and delivery, and assist with Senior Center program floor set-up and breakdown.

The Activities Coordinator has internal contacts with the entire administrative staff and external contact with members, social workers, social service resources, visitors, and the general community. This position has access to sensitive NSC information and is expected to handle such information with integrity and professionalism. This position has regular contact with members of the community and is expected to represent NSC in a professional manner.

The Activities Coordinator will report directly to the Program Director and participate in department activities as necessary.

Essential Functions

•    Plan, schedule, communicate, market, and oversee activity-related programs, trips, and presentations at the Senior Center.
•    Proactively seek additional activity-related programming resources through networking, especially with other PCA senior centers.
•    Provide suggestions to enhance the effectiveness of activity-related programming at the Senior Center.
•    Create and coordinate monthly calendar of scheduled events, trips, activities, and presentations.
•    Create flyers to advertise events, selling tickets for trips, and keeping track of funds received for ticketed events.
•    Shopping for props, materials, and supplies for center events or kitchen.
•    Setting up- preparing space for scheduled activities (ie. Moving furniture, rearranging room to accommodate event).
•    Assist with both Para transit rides and changes for individuals using Para transit system and ordering bus and van service when required for trips.

•    Attend quarterly activities coordinator meetings at PCA and any other relevant meetings.
•    Receiving, checking, and faxing back CCT Rider Report Summaries to Septa and Philadelphia Corporation for Aging (PCA).

Non-Essential Functions

1.    Attend relevant workshops or join professional groups as necessary to maintain professional knowledge and licensure.
2.    Adheres to NSC’s security guidelines and ensures the appropriate handling of sensitive information.
3.    Facilitates and attends relevant staff meetings to promote communication and execution of goals.
4.    Completes special projects specific to the function of the department or as needed for the Senior Center as directed by the Program Director.
5.    Other duties as assigned within the scope of position expectations.

Knowledge, Skills, and Abilities

A.    Understanding of NSC Senior Center goals and objectives and ability to work and contribute as part of a larger team.
B.    Strong knowledge of available activity-related resources in and around the Senior Center’s service area.
C.    Basic knowledge of social services resources for older adults in the Philadelphia area.
D.    Strong understanding of issues relevant to older adults.
E.    Ability to create and facilitate effective age appropriate diverse activity programs.
F.    Ability to foster excellent relationships with older adults.
G.    Demonstrates ability to manage multiple tasks by carefully setting priorities, meeting deadlines, and scheduling time efficiently.
H.    Basic understanding of computer operations and use a variety of common software programs including Microsoft Office.
I.    Ability to organize tasks in an efficient manner and follow-up and follow-through with strong attention to detail in a fast-paced environment.
J.    Demonstrates ability to work with other people through a cooperative effort.
K.    Possesses strong interpersonal skills as demonstrated by compassionate, courteous, cordial, cooperative, and professional interaction with diverse groups of co-workers, program members, social services resources, social workers, and the community.
L.    Adheres to all NSC and Senior Center policies and procedures.
M.    Attends all NSC in-services as required.

Experience, Education, and Licensure

Minimum Experience: 6+ months of experience facilitating activity programs. Experience utilizing city resources, cultural venues, or other activity program networking resources is preferred. Experience working with older adults or in a social services environment is preferred.

Minimum Education: High School diploma; BA/BS degree from an accredited college or university with a concentration in a related field of study is preferred.

Licensure: Valid driver’s license and reliable transportation is preferred.

5.    Specific vision abilities required by the job include frequent reading and close vision; distance vision; color vision; peripheral vision; depth perception; and the ability to adjust focus.

1.    The noise level in the work environment is frequently high.
2.    Work is performed in the basement of a church and is subject to some variations in hot/cold temperatures.
3.    Although work is primarily indoors, you may be required to travel outside to community and social service locations.
4.    Position may require occasional trips to attend conferences seminars, and meetings.
5.    Work outside of traditional work hours may be necessary based on operational and agency needs.
